When to Stop Doing Your Own Bookkeeping (And What to Do Instead)

    Blog Post #9

    August 22nd, 2026By Sphere Team

You started your business to build something—not to spend your evenings handling the bookkeeping. But when you're a team of one to five, bookkeeping usually falls on you by default, right alongside product, sales, and everything else.

That works for a while because the business owner can handle most things. The question is knowing when it stops working.

The Signs You've Outgrown DIY Bookkeeping

You're too busy to keep up. Categorizing transactions and reconciling accounts takes real time every week. If you're chasing revenue and building your product, that time usually loses—and your books fall a month, then a quarter, behind.

Mistakes are creeping in. A missed transaction here, a miscategorized expense there. On their own, small errors don't matter much. Compounded over months, they distort your P&L and make tax season a mess.

Nobody's actually looking at it. Even if the data entry gets done, are you reviewing your numbers regularly? If your books exist but no one's checking them for accuracy or trends, they're not doing their job.

If any of that sounds familiar, it's not a failure on your part—it's a sign your business has outgrown the DIY phase.

Understanding Bookkeeping vs. Doing It Yourself

It's genuinely valuable to understand how bookkeeping and accounting work. Knowing the difference between an expense and a liability, or how a P&L connects to your bank balance, makes you a better business owner regardless of who's doing the data entry.

But understanding the mechanics and executing them every week are two different things. Once your transaction volume grows, the better move is usually to let someone more experienced handle the day-to-day work while you stay focused on running the business.

    A CPA Isn't a Bookkeeper

A lot of business owners assume their CPA has this covered. They don't—at least not in the way you'd expect. A CPA is essential for tax filing and high-level guidance, but most CPAs don't want to touch your monthly transaction categorization or reconciliation. They need clean books handed to them, not a shoebox of receipts.

So even with a great accountant in your corner, you still need someone keeping your books current month to month.

    Why Outsourced Bookkeeping Often Disappoints

Hiring a bookkeeper solves the time problem, but it introduces a new one: quality and cost are inconsistent across the industry. Many outsourced bookkeeping services upcharge as your transaction volume grows or hand your account to someone junior who makes the same mistakes you were making yourself.

    Where Sphere Comes In

We built Sphere to fix that. With us, you get experienced bookkeepers who help you with your books and deliver financial reports on whatever schedule works for you—without the upcharges or inconsistent quality that plague most outsourced bookkeeping.

If you're noticing the signs—falling behind, catching mistakes, or just not looking at your numbers enough—it's worth a conversation.
